Refund and Returns Policy

Huanlin Group – Standard International Trade Terms & Conditions 

(If any inconsistency arises between these terms and a signed commercial contract, the contract shall prevail.)

1. Contract Priority

These Terms & Conditions are general public trading terms of Huanlin Group and do not constitute a binding contract by themselves. In case of any inconsistency between these terms and a formally signed Commercial Contract, Purchase Agreement, or Sales Contract, the terms of the signed contract shall prevail.

2. Product Quality

All products supplied shall meet the quality standards, specifications, and requirements stated in the signed contract or confirmed order. If no specification is provided, industry standards or manufacturer standards shall apply by default. Special certifications (ISO/CE/FDA/etc.) must be agreed in writing before order confirmation.

3. Inspection & Acceptance

Products are subject to factory quality inspection prior to shipment. If third-party inspection (SGS/BV/TÜV, etc.) is required, the cost and inspection standards shall be agreed in the contract. The buyer shall inspect the goods upon arrival and notify the seller in writing of any quality or quantity issues within 7 days. Failing this, the goods shall be deemed accepted.

4. Delivery Terms – Incoterms 2020

Delivery terms follow Incoterms 2020 unless otherwise agreed:

Risk transfer and cost division follow the signed contract.

5. Claims & Complaints

Any claim for quality issues, shortage, or specification mismatch must be submitted with evidence (photos/videos/report) within 7 days of receipt. Unauthorized returns will not be accepted. Claims must be reviewed and verified by the seller before any solution is provided.

6. Returns & Refund Policy

No return or refund is accepted without written approval. Non-quality returns are not accepted. For seller-responsible issues (confirmed quality defect or shipping error), solutions may include product repair, replacement, compensation, or refund as agreed. Refund liability shall not exceed the total value of defective goods.

7. Warranty

Unless otherwise stated, a standard warranty period of 12 months from the bill of lading date applies. Warranty covers manufacturing defects only and excludes damage caused by misuse, improper installation, unauthorized repair, or force majeure.

8. After-Sales Support

Technical support, documentation, replacement parts, or maintenance guidance may be provided depending on the product category. On-site service is not included unless agreed in writing.

9. Limit of Liability

The seller shall not be liable for:

  • Loss of profit, production delay, or business interruption

  • Indirect or consequential loss

  • Damages caused by improper handling or incorrect installation by buyer

  • Claims exceeding the value of the goods supplied
    Total liability is strictly limited to the contract value of the affected goods.

10. Force Majeure

The seller shall not be liable for delay or failure due to force majeure events, including natural disasters, war, government restrictions, or logistics disruptions. Delivery time will be extended accordingly.

11. Compliance & Export Control

The buyer is responsible for ensuring lawful product use and compliance with import regulations of their region. The seller reserves the right to refuse supply if products are used for illegal purposes.

12. Data Privacy & GDPR

Customer information is collected solely for order execution and communication purposes. Data may be shared with logistics and compliance partners as required. The seller complies with data protection principles and will not sell or misuse customer data.

13. Governing Law & Dispute Resolution

Disputes shall first be settled through friendly negotiation. If unresolved, they shall be submitted to the arbitration body or court specified in the signed contract.

14. Amendment

Huanlin Group reserves the right to update these terms without prior notice. The latest version will be published on the company website.
